Finance Administrator
Job Description: Finance Administrator
Responsibilities
The Finance Administrator directs all finance-related activities of the League of Women Voters of NYS (League), a 501c4 organization, and the League’s Education Foundation (Foundation), a 501c3 organization. This position will also manage office administration.
Financial
- Oversee all accounting functions using QuickBooks Desktop, including A/R, A/P, bank reconciliations, monthly journal entries, HR, investments and Board designated funds
- Manage cash flow, including approval of all expenditures and transfers of funds and recommend changes in cash management, when appropriate
- Ensure regular inter-company reconciliations
- Prepare monthly financial statements and all required reports on specified dates, including but not limited to, Balance Sheets, Profit & Loss Statements, YTD P&L, Budget v Actuals, and Cash reports
- Analyze financial and statistical reports in an accurate, timely manner for presentation to Executive Director
- Assist Executive Director in preparation of budgets for each organization
- Assign sub-classifications to all transactions for proper budget and functional expense tracking
- File quarterly NY sales tax, annual 1099s, and maintain tax certificates
- Run bi-weekly employee payroll, enter into liability/expense registers, liaison w/local payroll company, track PTO accrual, and administer benefits (health and dental plans, Simple IRA contributions)
- Monitor and pay all insurance premiums, amortize monthly book entries, and liaison with insurance broker for COIs
- Learn proper usage of new CRM (created and run by the National league) to charge membership dues, track renewals, and ensure proper payouts to local leagues
- Administrate 501c3 equity funds held in trust for 40+ local leagues and provide admin support for finance-related inquires from local league treasurers
- Administrate 501c4 funds on behalf of appx 5 local leagues
- Coordinate the year-end audit with external auditors
Administrative
- Responsible for receiving and processing office mail
- Provide administrative support for staff when necessary
- Fulfill publication orders, create invoices, and maintain product inventory and replenishment
- Assist in maintaining internal database for various mailings, registrations for meetings, and local league contact information updates
- Maintain office supply inventory, monitor postage meter, and order printing supplies as needed
- Assist in details of light event planning, such as board meetings
- Track vendor contracts and leasing
- Assist in maintaining contribution database and generate donor gift acknowledgements
Job Requirements
- 4+ years of relevant experience
- AA/BA in finance or another finance-related field (Preferred)
- Knowledge of Quickbooks Desktop, Word, and Excel (Required)
- Experience in nonprofit financing
- Knowledge of grant management
- Capability of working independently
Reporting
The Finance Administrator reports to the Executive Director
Hours
- Hourly position at 20-25 hours/week
- The compensation range for this position is set at $28-$30 an hour based on skills and experience.
- Albany-based office, with occasional travel for events
